Compliance dashboard — real-time document status for every carer with percentage scores

01

Real-Time Compliance Dashboard

One screen shows the compliance status of every carer in your agency. Green means all documents are current. Amber means something is expiring soon. Red means something has already expired. No spreadsheets, no guesswork.

The dashboard updates in real time as documents are uploaded or expire. Office staff can filter by status to see only the carers who need attention right now, rather than scrolling through the entire team.

During inspections, pull up the dashboard and show the regulator the compliance status of your entire workforce in seconds. This is the kind of systematic oversight that HIQA and CQC expect.

02

Automatic Expiry Alerts

Set alert thresholds — for example, 30 days before expiry. CareVaultc notifies you when DBS checks, training certificates, insurance documents, or any other tracked item is approaching its renewal date.

Alerts appear in the office dashboard and can trigger email notifications. No more discovering that a carer's manual handling certificate expired two months ago during a spot check.

Different document types can have different alert thresholds. A DBS check might need 60 days notice (because renewal takes time), while a training certificate might only need 14 days.

03

Document Storage

Upload and store compliance documents against each carer's profile: DBS/Garda vetting certificates, manual handling training, medication management, safeguarding, right-to-work evidence, and any other document your agency tracks.

Documents are stored securely and linked to the carer they belong to. When an inspector asks to see a specific carer's DBS certificate, it takes one click — not a trip to the filing cabinet.

Carers can also upload documents directly from the mobile app. Take a photo of a training certificate and it lands in the compliance system immediately, linked to the correct carer and document type.

04

HIQA Inspection Readiness

For Irish agencies: CareVaultc tracks all HIQA-required documentation. Care plans, risk assessments, staff training records, and safeguarding policies are linked to the correct client and carer profiles.

When HIQA inspectors arrive, you can demonstrate that your documentation is current, organised, and accessible. The dashboard provides the systematic evidence of compliance that inspectors look for.

HIQA's Standards for Home Support Services require evidence of staff training, supervision, and competency assessment. CareVaultc stores this evidence against each carer profile with full date tracking.

05

CQC Alignment

For UK agencies: maintain records aligned with CQC's five key lines of enquiry — Safe, Effective, Caring, Responsive, and Well-Led. CareVaultc's compliance tracking demonstrates systematic governance across all five domains.

The Safe domain requires evidence of recruitment checks, training, and risk management. The Well-Led domain requires evidence of governance systems and quality monitoring. CareVaultc provides both through its compliance dashboard and audit trail.

06

Audit Trail

Every document upload, status change, and compliance action is timestamped and attributed to a specific user. The audit trail shows who uploaded a document, when it was uploaded, and when it was last reviewed.

This is essential for both regulatory inspections and internal governance. If a compliance issue arises, you can trace exactly what happened, when, and who was responsible — without relying on memory or email searches.
